Create Message Templates

Message Templates are mandatory for any outbound communication sent by a company on WhatsApp. They ensure Meta approval, traceability, and high read rates (+90%) in both commercial and transactional campaigns.

Templates must be used whenever the company initiates the conversation with the user, including:

  • Active prospecting and commercial follow-ups

  • Re-engagement and cart recovery

  • Appointment reminders and confirmations

  • Sending proposals and personalized conditions

  • Service updates or order status changes initiated by the company


Prerequisites

To enable templates for Outbound flows, you must have:

  • A Business Portfolio in Meta Business Suite

  • A WhatsApp Business Account

  • Access to the WhatsApp Manager

How to Create Templates

Step 1: Access the Manager

  1. Open Meta Business Suite

  2. Select your Business Portfolio

  3. Go to Settings

  4. Click on WhatsApp Manager

  5. Choose the WhatsApp Business Account (the same one used by your agent)

Step 2: Create the Template

  1. Click the three-dot menu

  2. Select Manage message templates

  3. Click Create message template


Template Configuration

Choose the category based on the purpose of the communication:

Marketing

Offers, campaigns, invitations, re-engagement, promotions, etc.

Utility / Service

Notifications, scheduling, reminders, preventative follow-ups, etc.

Authentication

Secure login and verification

Template Name

  • Use lowercase, numbers, and underscores: confirm_schedule

  • Choose a descriptive name to make CRM identification easier

Language

  • Select Portuguese (Brazil) or Spanish (LATAM)

  • Add additional languages if needed


Content Guidelines

Header (optional)

  • Short text or media

Body

  • Start with institutional identification

  • Include the main purpose in the first line

  • Use variables carefully, with explicit meaning

  • Avoid unnecessary line breaks

Example:

  • {{1}} lead name

  • {{2}} date

Buttons (optional)

Quick Reply (up to 3 buttons)

Examples:

  • Quero falar agora

  • Ver oferta

  • Confirmar horário

Call to Action

  • Call a phone number

  • Static or dynamic link

Approval Criteria

To maximize the approval rate with Meta, ensure your template follows these rules:

  • Clear business identification at the beginning

  • Objective justification for the contact, aligned to user context

  • Proper structure of variables, without redundancy or ambiguity

  • Reviewed spelling, grammar, and formatting

  • Complete message: all necessary context must be inside the template

Important: Meta’s review time usually ranges from 30 minutes to 24 hours.
