2026/02/05 – Complete File & Media Management for WhatsApp Conversations
Release Date: February 5, 2025 | Version: 2025.02.05
Overview
We're thrilled to introduce comprehensive file and media management for PatagonAI—a complete overhaul of how your team handles files shared through WhatsApp conversations. From sending documents to playing voice notes, every aspect of file handling has been redesigned for a seamless, WhatsApp-like experience.
This release delivers:
📎 Send files directly from the platform during live conversations
🎵 Interactive audio player with waveform visualization
🖼️ Rich media previews for images, videos, PDFs, and documents
📂 New Media tab showing all files exchanged with each lead
⏱️ WhatsApp-style timestamps for intuitive message timing
What's New
1. Send Files During Conversations
The Challenge: When taking over a conversation from the AI agent, your team couldn't send files—only text messages. Customers had to receive documents through other channels, breaking the conversation flow.
The Solution: You can now send images, documents, videos, and audio files directly within the conversation.
How It Works
When you take over a conversation, a new attachment button (📎) appears next to the message input:
Click the attachment button
Select a file from your computer
The file uploads with a progress indicator
Send your message with the attachment

Supported File Types
Images
JPEG, PNG, WebP
5 MB
Documents
PDF, DOC, DOCX, XLS, XLSX, PPT, PPTX, TXT
100 MB
Videos

Audio

16 MB
Smart Availability
The attachment button only appears when you can actually send files:
During an active takeover session
Within the 24-hour messaging window (WhatsApp policy)
This prevents confusion by hiding the option when file sending isn't possible.
2. Interactive Audio Player with Waveform

The Challenge: Voice notes from customers appeared as simple download links. Your team had to download files to listen, interrupting their workflow.
The Solution: Voice notes now play directly in the conversation with a beautiful waveform visualization.

Features
Inline Playback — Play voice notes without leaving the conversation
Visual Waveform — See the audio duration and progress at a glance
Compact Design — Fits naturally within message bubbles
Download Option — Still available if you need to save the file
The Experience
When a customer sends a voice note, you'll see:
A play/pause button with the PatagonAI accent color
A real-time waveform showing audio progress
Seamless playback controls
3. Rich Media Previews

The Challenge: Files appeared as generic links with filenames. Your team couldn't preview content without downloading each file.
The Solution: Files now display with rich, interactive previews based on their type.

4. New Media Tab in Lead Drawer

The Challenge: Finding files shared during a conversation meant scrolling through the entire message history—time-consuming and easy to miss important attachments.
The Solution: A dedicated Media tab in the lead drawer displays all files at a glance.
What You'll See
The new Media tab shows:
All files exchanged in the conversation (sent and received)
File thumbnails for images
Type indicators for documents, videos, and audio
Original filenames for easy identification
One-click downloads for any file

5. WhatsApp-Style Message Timestamps
The Challenge: Message timestamps showed exact date and time for every message, making recent conversations harder to scan quickly.
The Solution: Timestamps now use WhatsApp-style relative formatting for a more intuitive reading experience.
How It Works
Less than 1 hour
Relative time
Today
Time only
"3:45 PM"
Yesterday or older
Full date and time
"Feb 4, 3:45 PM"
Benefits
Faster Scanning — Recent messages are easier to track
Familiar Pattern — Matches WhatsApp's own formatting
Smart Context — Older messages still show full dates
6. Improved File Name Preservation
The Challenge: Files received from WhatsApp sometimes lost their original names, displaying as cryptic identifiers like "8a7f3bc2.pdf".
The Solution: File names are now correctly preserved from WhatsApp for all file types.
